Human Resources (HR) Administrator
Start Date: August 17, 2026 (Negotiable)
End Date: August 31, 2027
Salary Range: $62,139-$77,936
Under the direction of the Manager of Human Resources Services, the Human Resources Administrator provides administrative and operational support across a broad range of HR functions, including recruitment and selection, HRIS administration, employee lifecycle support, Attendance Support, and procedure implementation.
The role is integral to maintaining accurate and confidential employee records and requires a high level of discretion, professionalism, and sound judgment. The successful candidate will manage sensitive personnel information and support employees through all stages of employment.
A strong commitment to privacy, confidentiality, and data security is essential, in accordance with applicable legislation, board policies and procedures, and professional HR standards.
KEY RESPONSIBILITIES:
- Coordinate and support end-to-end recruitment and selection process, including job postings, applicant tracking, interview coordination, preparation of offer documentation and onboarding
- Maintain and update employee records within the Human Resources Information System (HRIS), ensuring data accuracy, completeness, and confidentiality
- Draft, prepare, and finalize employment-related correspondence, including offer letters, contracts, and employment confirmation and verification letters
- Provide front-line support to employees by responding to inquiries related to employment, policies, procedures, and HR processes in a professional and confidential manner
- Coordinate and deliver onboarding and orientation programs to ensure positive and consistent employee experiences
- Review and monitor salary adjustments in accordance with applicable collective agreements and board policies
- Maintain and update seniority lists for unionized and non-unionized staff, ensuring accuracy and compliance with collective agreement provisions
- Assist with the tracking, coordination, and administration of performance management processes and documentation
- Support the Board's Attendance Support Program by tracking and monitoring employee attendance date, preparing documentation, and assisting with the coordination of attendance support meetings in a respectful, confidential, and non-disciplinary manner, consistent with Board policies and applicable collective agreements
- Maintain and update HR-related content on the Board's website and internal platforms
- Post-secondary education in Human Resources, Business Administration, or a related field
- Minimum of two (2) years of progressively responsible experience in a human resources or administrative role
- Completion of, or progress towards CHRP designation is considered an asset
- Demonstrated ability to manage multiple priorities and competing deadlines in a fast-paced environment
- Knowledge of applicable legislation, including but not limited to the Employment Standards Act, Labour Relations Act, and other relevant Ontario statutes
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience working with HRIS systems
- Excellent communication and interpersonal skills, with a strong commitment to customer service
- Highly developed organizational and time management skills with strong attention to detail
- Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion and professionalism
- Sound judgment, integrity and a commitment to ethical HR practices
- Ability to work both independently and collaboratively within a team environment
