The Role:

Medcan is recruiting for an AHA Flow Coordinator/Receptionist hybrid role. The position requires high energy and enthusiasm, an appreciation for detail, an outstanding level of client service and exceptional organizational skills. The role is responsible for monitoring and facilitating the flow of patients through our Year-Round Case clinic and checking clients in for their Annual Health Assessment as well as coordinating with other clinic staff to ensure an exceptional delivery of service. The role is also responsible for monitoring and facilitating the flow of clients through the clinic during their Annual Health Assessment. The ideal candidate is a client focused professional with excellent communication skills, a great attitude, and some flexibility in their schedule.

This position is stationed at Medcan’s Oakville location at 2275 Upper Middle Road East. The successful candidate will complete all of their training onsite at our Oakville site as well.

This is a permanent part-time position currently scheduled between Monday to Saturday between the hours of 6am - 6pm.

What You'll Do:

  • Welcome and greet clients, guide clients throughout their visit and checking clients in and out of their appointments.
  • Process payments for appointments and products.
  • Manage client’s day as they move from station to station during their Annual Health Assessment.
  • Coordinate with staff to ensure the client’s visit is productive and effective with exceptional service delivery.
  • Ensure clients receive maximum value time during their visit.
  • Provide exemplary and engaging customer service.
  • Interact with clients with discretion, professionalism, and accuracy.
  • Escort patient to and from treatment rooms and waiting areas.
  • Make reminder appointment calls to clients.
  • Constantly maintaining the lounge and attending to clients.
  • Manage wait times with clients, updating them with accurate information regarding their appointment.
  • Open and close procedures including next day preparation.
  • Respond to all client issues and enquiries.
  • Foster client/clinic loyalty by creating memorable experiences.
  • Problem solving abilities in a fast-paced environment.
  • Ensure compliance with all service metrics.
  • Liaison with all clinic departments

What You'll Need:

  • Prior experience in similar role.
  • 1-2 years of experience in healthcare industry of an asset.
  • Education in health or a related discipline is an asset.
  • Four Star Hotel experience or a luxury spa is an asset.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Intermediate level skills in MS Office.
  • Exceptional customer service skills.
  • Ability to multi-task.
  • Ability to work well in a team environment.
  • Ability to foster relationships with other teams and practitioners.
  • Liaison with all clinic departments
