Position Summary
Our Documentation Services team is responsible for drafting, reviewing, negotiating, and administering leasing documentation for the North American portfolio of commercial real estate properties. The team provides documentation expertise and operational support to Leasing, Property Management, and Acquisitions teams.
The Bilingual Documentation Services Specialist plays a key role in preparing and managing lease documentation, ensuring consistency with company standards, and supporting leasing transactions through accurate drafting and interpretation of commercial lease agreements and related documents primarily for the Quebec region however will also assist documentation services for Ontario and Western regions as required.
This role requires fluent bilingualism in French and English, strong attention to detail, the ability to manage multiple documentation processes simultaneously, draft complex leasing documentation, critique precedent clauses and documents, and the capacity to analyze the implications of lease provisions on property operations and financial performance.

Lease Documentation and Drafting
- Draft and prepare commercial leasing documentation including Lease Agreements, Offers to Lease, Lease Extensions, Amendments, Assignments, Consents, Storage and Parking Agreements, and other related documents in accordance with approved company templates and internal approval processes.
- Support Leasing Managers in the preparation and finalization of documentation related to leasing transactions.
- Modify and adapt precedent clauses and document templates as required while ensuring consistency with company documentation standards.
- Resolve complex leasing scenarios from a documentation standpoint.
- Review and interpret commercial lease documentation and provide guidance to Leasing and Property Management teams on lease provisions and implications.
- Assist in resolving complex leasing scenarios from a documentation and contractual perspective.
- Analyze lease clauses and identify potential impacts on operations, and performance.
- Assist Leasing Managers with preparation of Letters of Intent and other leasing correspondence as required.
- Provide documentation-related guidance throughout the leasing process.
- Assist the Acquisitions team with lease analysis and preparation of lease abstracts.
- Prepare and distribute Lease Abstracts and ensure accurate entry of lease data and key terms into the Yardi Voyager system.
- Maintain the integrity and accuracy of lease documentation records.
- Ensure all leasing documentation is properly filed and maintained in accordance with company policies and documentation standards.
- Update leasing reports, tracking tools, and internal databases as required.
- Manage multiple lease documentation processes while meeting time-sensitive deadlines.
Key Qualifications, Skills and Experience:
- Five (5) years of experience preferred in drafting, reviewing, and administering commercial lease documentation.
- Strong knowledge of commercial lease terminology and lease clause interpretation.
- Fluency in both French and English (written and spoken) is required.
- Knowledge of property management practices and lease administration processes.
- Demonstrated ability to draft, review, and communicate documentation professionally in both English and French.
- Demonstrated ability to draft and modify legal-style documentation with a high level of accuracy and attention to detail.
- Ability to analyze the operational and financial impacts of lease provisions.
- Strong organizational skills with the ability to manage multiple priorities and high volumes of documentation in a deadline-driven environment.
- Excellent written and verbal communication skills.
- Demonstrated ability to collaborate effectively with internal stakeholders including Leasing, Property Management, and Acquisitions teams.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Experience using Yardi Voyager or similar property management systems.
- Post-secondary education or equivalent combination of education and professional experience.
