Primary Functions and Responsibilities

• Ensure the day-to-day operations of the facilities, including custodial, life-safety, engineering, site services, and general maintenance, are implemented and carried out in a manner consistent with Avison Young policies and client directives.
• Develop and oversee implementation and maintenance of the computerized Preventative Maintenance System (MRI Angus).
• Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties.
• Monitor performance and troubleshoot all HVAC, Electrical, Mechanical, Life Safety, vertical transportation and other equipment. Oversee the performance of required legislative and diagnostic testing on equipment (ex emergency generator, sprinklers, etc.).
• Complete inspections of physical plant and exterior property; correct deficiencies immediately or report to the respective property manager for appropriate action and follow-up.
• Respond to all (including after hour’s) emergency calls (ex floods, fire alarms, power failures, etc.) by attending the site and taking the necessary action required to ensure all emergency procedures are followed and the safety and security of personnel and the property is maintained and provide incident reports in accordance with Avison Young and/or client procedures.
• Ensure optimum operation of the Building Energy Management and Building Automation Systems working in conjunction with the property manager, and 3rd party energy management consultant.
  
  

Administration

• When required, co-ordinate and supervise contracts and contract personnel, including periodic reviews of all service contracts.
• Ensure that all site-specific documentation and reports are completed accurately and on time.
• Develop and oversee implementation and maintenance of Health & Safety program to ensure REMS and buildings meet required OH&S requirements.
  
  
  

Tenant Relations

• Respond positively and promptly to requests from tenants and occupants. Oversee the implementation of ongoing contract programs to constantly assess tenant and occupant needs and ensure problems are being solved promptly to the mutual benefit of the tenant, client, and the properties in accordance with contract scope and Service Level Agreements (SLA’s)
• Analyze and report statistical data as may be required to provide accurate and current assessment of management objectives (KPI - response times and deliverables)
  
  
  

Compliance

• Monitor and ensure the properties are environmentally compliant with environmental legislation, codes and corporate best practices.
• Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims, as required.
  
  
  

Planning

• Assist as needed in the development and preparation of a variety of budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facilities.
• Assist in the development of capital budgets for the property. This includes contributions toward a ten-year plan of maintenance, facility improvement, and cost reduction initiatives.
• Research and report on various equipment and systems for purchase or upgrade.
  
  
  

Staff Supervision and Development

• Supervise, mentor, and motivate on-site building operations personnel. Maintain positive staff relations.
• Ensure operations team have updated certificates/training requirements for safety/awareness (ie Asbestos Awareness, Lockout & Tagout/ Zero Energy, H&S Committee Training, Legionella & Legionnaires Prevention, WHMIS, Confined Space Entry, Working from Heights/ Fall Protection, ARC Flash, Mold Identification, etc.)
• Conduct or approve performance evaluations for staff and encourage professional development (accreditation courses such as BES 1&2; BOMA, etc.)
  
  
  

Relationship Building

• Through understanding and knowledge of the management contract and all requirements contained therein.
• Facilitates and coordinates on-going, open communication with tenants by attending various meetings as required; understand, access and address tenant operational concerns in order to ensure their needs are being met and the organizations assets are maintained appropriately.
• Valid ABSA Power Engineering Certificate and related trades experience
• Excellent knowledge of building systems (electrical, plumbing, sprinkler, life safety, HVAC, landscaping, snow removal, caretaking, etc.)
• Ability to work with multiple clients to facilitate work, address issues and manage concerns
• Strong leadership and teamwork skills to effectively work with a property management team
• Valid Driver’s License and clean Driver’s Abstract
• Bondable
• GED; computer literate
  
  
  

Additional Assets

• Experience in development of new buildings and / or renovation and retrofitting of older buildings
• Project management certificate and / or successful experience in construction management
