(Internal Title: Project Administration II)
Prepare a variety of confidential and general correspondence, letters, internal memoranda and reports for the Construction Site Manager (CSM) and other field staff including Agendas, Minutes of Meeting, Site Memoranda, Contract Deficiency Lists, Monthly Progress Reports, Progress Photograph Identifications, Contract Deficiency Reports, Transmittals, Substantial Performance Certificates, Employee Performance Appraisals, Contract Performance Reviews, etc. This may involve compiling and verifying information, typing drafts and proof-reading for accuracy, format, grammar, punctuation, etc., in accordance with departmental procedures, composing replies to routine correspondence for the CSM’s signature
Provide clerical and administrative support for an assigned construction site office
Track correspondence received from or returned to Contractors or others
Coordinate duties including but are not limited to word processing, creating and updating spreadsheets and database files, creating Contract files and filing of Contract documentation in accordance with established procedures
Review, prepare, proofread, edit, and issue letters, reports, transmittals, spreadsheets, PowerPoint, etc.
Participate in, record, produce, and distribute meeting minutes as required
Maintain and track project work for assigned team members
Administer any hardcopy correspondence needs (mail, priority post, packages, courier services)
Organize adequate supplies of office stationery, general office supplies, and other equipment
Complete any tasks assigned by Project Administration III or higher in an efficient and timely manner
Working Conditions
Office-based
Experience:
Minimum of 3 years of experience in Office and Project Administration
Education:
High school diploma or GED
Registered for and actively seeking a Diploma in Business Administration or similar
Skills and Competencies:
Must have demonstrated experience relaying and receiving information to and from all levels of management (written and verbal)
Strong organizational, interpersonal skills
Effective skills in MS Office
Competent administrative and data accuracy
Strong attention to detail
Keen eye for detail and adept problem-solving abilities
Competent in identifying tasks and duties to take onboard to offload and support management
