Reporting to the Senior Manager, Contracts & Commercial, the Contracts Coordinator will be responsible for the successful administration of contracts with clients, consultants, subcontractors and suppliers.
This position is Edmonton based but will require travel to client sites.

Reporting to the Senior Manager, Contracts & Commercial, the Contracts Coordinator will be responsible for the successful administration of contracts with clients, consultants, subcontractors and suppliers.
This position is Edmonton based but will require travel to client sites.
What You Will Be Working On
- Work within a multi-disciplined team on fast paced, high value construction projects with responsibility towards Contractual obligations to ensure alignment between the client, our team, and our subcontractors.
- Ensure effective execution of company policies and procedures relating to project execution, contract and risk management.
- Support the project manager/project teams with administration in relation to the execution of Contracts.
- Ensure preparation of all contract documents are in accordance with company standards.
- Works effectively with project personnel to support subcontract execution for the project(s).
- Work closely with the director of operations, project manager, estimator, superintendent and other members of the project teams such that the project priorities are achieved.
- contract administration including but not limited to:
- Preparation, processing, negotiation and execution of contract documents in accordance with company and client requirements and standards
- Preparation of bid documents including specifications
- Sub-trade tendering
- Analyze bids from subcontractors and suppliers.
- Bid clarification meetings
- Bid summaries and recommendations
- Manage contract reporting activities and identify and track deliverables.
- Ongoing contract and subcontract coordination activities including:
- Chairing and minuting contract and subcontract meetings,
- Reviewing and negotiating change orders, variations and change issues.
- Preparing narratives and entitlement documentation.
- Track and ensure fulfillment of subcontract requirements and agreements during the course of the project(s).
- Contractual correspondence with client and subcontractors as appropriate to address contractual and commercial issues.
- Developing and implementing Change Management procedures and track contract and subcontract changes/modifications.
- Maintain filing systems and logs for all contract related documents and correspondence.
- Reviewing subcontractor invoicing for compliance with subcontract terms
- Supporting project team in preparing invoices, forecasting costs, and projecting profits on the project(s).
- Maintain the highest standards of professional ethics and integrity when representing Bird
- Assist in maintaining subcontractor performance records and pertinent data on each subcontractor.
- Claims avoidance and management, including forensic analysis of cost and schedule impacts for preparation of claims submissions.
- Maintain excellent relationships with clients, subcontractors, suppliers and the public.
- Train project teams on the implementation of contract processes and procedures and contractual requirements/obligations.
- Liaise with project teams on a variety of matters as required and provide key updates to the District Management and Risk Management groups as necessary when issues arise.
- Develop and implement District and Company-wide best processes and policies.
- Review and action all surety and insurance requirements for the project and ensure compliance with surety provided for subcontracts.
- Post-secondary education, such as a degree or diploma in a related field, and/or relevant combination of experience.
- 3+ years’ project experience in the construction industry.
- Ability to use MS Word, Excel, Outlook, MS Project and Primavera P6
- Excellent financial and numeracy management skills
- Working knowledge of contract language and legal requirements of contracts
- Ability to inspire trust in difficult situations by instilling confidence and engaging people on matters that affect them
- Ability to forge, grow and maintain positive relationships
- Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities. capable of handling pressure and challenges
- Ability to work within tight deadlines and prioritization of work to achieve them
- Strong project coordination, organizational and investigative skills
- Strong critical thinking, troubleshooting, and problem-solving skills
- Strong presentation skills with the ability to simply complex concepts
- Strong interpersonal, communication, and negotiation skills
- Demonstrates a sense of urgency and strong commitment to achieving goals. ability to work in challenging, fast paced environment
