About The Role

Reporting to the Manager, Creative Operations and Programming, the Creative Programming & Partnerships Coordinator will be a key member of the Membership – Creative team responsible for effectively executing the Membership Department driven events and partnerships within the music industry. This role works in close collaboration with the Creative Team, Communications and Marketing Department, Membership Senior Management, and industry stakeholders to serve SOCAN members and add value to their careers and businesses in accordance with the Membership Department strategy.

Events

WHAT YOU’LL DO / KEY RESPONSIBILITIES

    • Assist with coordination of the successful execution of Membership Department related events created or supported by SOCAN
    • Support the Director/Manager, Creative Operations and Programming to execute the annual SOCAN Awards, one of Canada’s premier music industry events, including winner management, logistics, contracts, accommodations, guest lists and travel and transportation. The SOCAN Awards must reflect SOCAN’s strategy and vision as an organization
    • Collaborate with Creative Team to coordinate SOCAN involvement in international, national, and regional music industry events
    • Assist with coordination of Member Meetings/Receptions/Information Sessions. Working with Creative team on group travel & accommodations and event logistics, and working in conjunction with the Creative Director, Manager, and team on invitations and guest list
Partnerships Facilitation

    • Implement and coordinate event partnerships and engagement plan to meet the department’s event goals.
    • In close consultation with the Director/Manager, Creative Operations and Programming and Communications & Marketing team, preparation, and onsite activation of member experience at various music industry events where needed with a view to minimize expenses while producing a high-quality experience
    • Work closely with Communications & Marketing and SOCAN’s Montreal office to share best practices for SOCAN event strategy and execution
    • Coordinate all partnership and event deliverables and ensure post event info is collected for ROI analysis
Administration

    • Maintain and manage the shared SOCAN Events calendar
    • Maintain and manage SOCAN Number #1 tracking, ordering, and coordinating the distribution of awards
    • Champion the partnerships and logistics for the SOCAN 101 educational initiative including managing dates, registration, Communications & Marketing needs, and execution
    • Preparation and follow through on contracts
    • Create, maintain, and manage a centralized shared guest list adaptable to all events
    • Oversee subscriptions and accounts related to the Creative team
    • Create, maintain, and manage project plans, event overviews, and logistics for all events and sponsorships
    • Manage group hotel blocks for Membership/Creative team as needed
    • Prepare invoices and cheque requests for approval, submit invoices to finance and maintain Invoice tracking, with support from admin staff as required
    • Help coordinate Member Performances for Harmony Lounge as required
    • Work with Executive Administration on any needs for Executives attending events such as schedules, tickets, and accommodations
What You Will Bring / Qualifications & Experience

  • Post Degree Event Management Program or similar post-secondary education
  • 2+ years’ progressive experience in planning and managing events and promotion
  • Administrative and logistical background
  • Experience and/or interest in the music industry is an asset
  • Music industry contacts and awareness of the music industry ecosystem an asset
  • Excellent communications skills, both written and orally
  • Project Management skills
