Lead Staff Scheduling Coordinator

PCH currently operates Wellbrook Place East and West, a combined 632-beds Long Term Care Home and part of PCH’s larger strategy that will introduce innovative and inclusive programs and services and new models of care delivery. Position Summary:

The Lead Staff Scheduling Coordinator plays a crucial role in ensuring efficient operations, managing staff schedules, and providing data-driven insights for various departments. Reporting to the Office Manager, the Lead is responsible for overseeing the activities within the Staffing Office and supporting the Staff Scheduling Clerks and Coordinators to meet staffing needs and organizational goals. The Lead Staff Scheduling Coordinator will oversee the daily operations of the Staffing Office team, including Staff Scheduling Clerks and Coordinators, while also performing day-to-day scheduling coordinator tasks.

Key Responsibilities:

Lead Responsibilities And Oversight

  • Leadership and Oversight
    • Oversees the overall staff scheduling process, ensuring optimal staffing levels and workflow efficiency across both Homes.
    • Maximize the effective utilization of the Staff Resource Team to support staffing needs and reduce scheduling gaps.
    • Monitor performance standards and collaborate with Managers or the ADOC to address non-conformance, implement revisions, and support continuous improvement.



  • Compliance
    • Ensures all scheduling practices align and comply with relevant collective agreements (e.g., ONA, SEIU) and staff guidelines.
    • Audit pre-posted schedules, investigate inaccuracies, and handle staffing complaints related to posted schedules and overall scheduling issues.



  • Problem Solving
    • Address and resolve scheduling issues and collaborates with team members (EDs, DOC, ADOC, RN-in-charge) to ensure timely and effective solutions.


Staff Scheduling Coordinator Responsibilities

  • Schedule Creation and Management: Develop and maintain accurate staff schedules based on workload, employee availability, and organizational needs.
  • Staffing Needs Assessment: Assess staffing requirements for weekdays, weekends, and statutory holidays in collaboration with Managers.
  • Communication and Coordination: Communicate schedules to staff, address scheduling issues, and coordinate with Managers to ensure smooth operations.
  • Data Analysis and Reporting: Collect and analyze data to identify trends, optimize staffing levels, and support decision-making. Prepare clear and concise reports for performance monitoring, quality improvement, and program planning.
  • Presentation of Findings: Present scheduling data and recommendations to stakeholders through reports, presentations, and other formats.
  • Policy and Procedure Implementation: Support the development and implementation of scheduling policies, procedures, and best practices.
  • System Implementation: Assist in the implementation and optimization of computerized and centralized scheduling systems.
  • Troubleshooting and Problem Solving: Investigate and respond to complex scheduling challenges and inquiries, including staff replacement issues, grievances, and data report interpretations.

Qualifications:

  • College/university diploma/degree in Health Administration or equivalent
  • 2 years’ Scheduling experience
  • LTC or healthcare experience preferred
  • MS Office (Outlook, Word, Excel, PowerPoint, MS Teams.)
  • Knowledge of Dayforce programs and electronic time sheets/schedules
  • Ability to understand scheduling language
  • Demonstrated leadership and communication skills
  • Enhanced knowledge of LTCHA, Ont Reg 79/10, & Collective Agreements
  • Proficiency in a second language is considered an asset
  • Demonstrated leadership and communication skills
