Legal & HR Administrator - Elevate your Career at Downtown AutoGroup!

Whether you’re ensuring our operations remain compliant or facilitating our onboarding process, you’ll be the administrative engine that keeps our legal and HR operations humming for 10 dealerships and 400+ colleagues. If you’re looking for an opportunity to show you can deliver with precision and ownership, this is the role for you.

Your Mission

Elevate the employee experience and guard our compliance by delivering flawless day-to-day administration across Legal and HR.

Success Outcomes

  • By Day 30: You own our compliance tracking process. OMVIC registrations, corporate filings and business licenses calenders are yours to own and monitor.
  • By Day 60: You own the entire end-to-end hiring process. You post job ads, assist in the interview process, onboard every new hire.
  • By Day 90: AODA, WHMIS and Violence & Harassment training completion rates are at 100%; litigation & contract registers are accurate and updated weekly.
  • By Month 12: Ideally, you will manage the day-to-day HR function and compliance program with input, insight and guidance from our General Counsel and HR Director.

Your Day-to-Day Work

HR Administration

  • Run the full hourly & salaried recruiting cycle—post, screen, schedule, reference-check.
  • Draft and issue offer letters, employment confirmations, promotion and status-change letters.
  • Own onboarding, welcoming new hires, ensuring IT access, and tracking probation reviews.
  • Maintain health-and-safety program: JHSC minutes, workplace inspections, incident reports, WSIB Form 7 filing.

Legal / Compliance Administration

  • Monitor and process OMVIC dealership renewals, salesperson registrations and terminations.
  • Manage business-licence and corporate-registration renewals; prepare annual returns with oversight and guidance from General Counsel.
  • Update contract-management spreadsheet; store fully executed agreements.
  • Coordinate compliance audits and supply requested documentation.

Must-Have Qualifications

  • Most important qualification: You can get things done. You ensure everything you touch is concluded, leaving no open loops.
  • You're a self-starter. You are comfortable taking initiative to learn things on your own and to figure things out.
  • Meticulous attention to detail; able to juggle deadlines across multiple entities.
  • You can work a computer. You’re comfortable with the Google suite of applications and familiar with generative AI.
  • Post-secondary diploma/certificate in Legal Administration, HR or related field preferred, but not mandatory.
  • Working knowledge of Ontario ESA, OHSA, privacy and consumer-protection basics are preferred, but not mandatory.

Why Downtown AutoGroup

  • Career runway to HR Coordinator / Legal Ops within 18–24 months.
  • Competitive pay $55k – $69k, depending on candidate qualifications.
  • Health benefits (health, dental, vision) and potential for professional-development funding.
  • Vehicle purchase & service discounts across 11 brands.
