The municipal and stakeholder relations specialist is responsible for coordinating and implementing local government and external stakeholder engagement and communication activities. This includes responding to general enquiries from the public, coordinating events and engagement activities, researching and monitoring issues, tracking and reporting, maintaining and updating contacts and assisting with other related engagement activities as required.

What You Do

  • Monitor the community feedback line and respond directly and in writing to enquiries from the public, ensuring responses are accurate and strategic in appropriately reflecting the desired positioning of the port authority
  • Research and investigate community complaints including the source and location with internal and external stakeholders (terminal and rail operators) to resolve or provide the appropriate information
  • Maintain and update a library of responses to community issues
  • Liaise with communications team to develop communications material to support frequently asked questions
  • Liaise with internal and external stakeholders at various levels to acquire appropriate information or validate draft responses when needed
  • Provide regular briefings and reports on community feedback and elevate issues as required
  • Coordinate and prepare monthly and annual reports for the community feedback line
  • Participate and support the ongoing process improvement process for the community feedback line
  • Working with manager, coordinate local government and stakeholder communication and engagement activities, support the planning and execution of outreach programs and activities.
  • Under direction, coordinate participation at events, including administrative functions such as contracts and invoices, invites, registration and other logistics.
  • Write event and briefing notes, information sheets, presentations and other support materials, as required
  • Research and compile reports
  • Ensure the ongoing maintenance, input and integrity of CRM data for the team
  • Assist team with the optimization of the CRM tool to improve tracking and reporting functions
  • Assist with tracking and reports for local government stakeholder relation engagement activities and outcomes


What You Bring

  • Completion of a degree in communications or another acceptable discipline from a recognized post-secondary educational institution, along with a minimum of two years of experience responding to community enquiries and experience in communications, government, or community engagement.
  • This person must have proficiency in Microsoft Word, Power Point and Excel. Experience using Microsoft Dynamics CRM and document management (Sharepoint) would be considered an asset.
  • Must be a self-motivated individual with excellent interpersonal skills, including tact, diplomacy and the ability to liaise effectively and positively with both staff and outside contacts
  • Tact, diplomacy and confidentiality are paramount, as the role works with sensitive information.
  • This person will have excellent written and verbal communication skills, including excellent proofreading and editing skills.
  • The role requires a team player with a "customer service" focus.
  • Good organizational skills and flexibility to perform multiple tasks, often under time pressure, are required.
