Position: Project Coordinator (Job Code: EP0041)

Reports to: Director, ACCESS

Employment Type: 1.0 FTE, 1-year contract with possibility of extension

ACCESS (Advancing Childhood Cancer Experience, Science & Survivorship) is a new CIHR-funded initiative (lead institution SickKids) to build a national childhood cancer strategy that will change the way children¿s cancers are researched and treated. The mission of ACCESS is that every child with cancer in Canada has access to the latest scientific advances, diagnostic tools, therapies and supportive care leading to better outcomes and a better quality of life. ACCESS includes clinicians, researchers, survivors, patient advocates and other stakeholders from across Canada who have diverse experience and expertise.

We are currently seeking a Project Coordinator to join our team. This role will be to coordinate and support the PRecision Oncology For Young peopLE (PROFYLE) driver project within ACCESS. PROFYLE is a national multidisciplinary project that integrates basic, translational, and clinical research in childhood, adolescent and young adult oncology. In this role, you will be a key member of the ACCESS Secretariat and responsible for a range of administration and coordination activities to facilitate PROFYLE¿s projects, research, academic, and outreach work.

The Project Coordinator will be part of and work closely with the ACCESS Secretariat Team and the interdisciplinary national network of people involved in the PROFYLE and ACCESS. The national PROFYLE team members include experts in clinical care, genomics, modelling, proteomics, biomarker analysis, pathology, biobanking, bioinformatics, regulatory affairs, patient advocacy, and bioethics. Together, they have developed a common research platform for tissue bio-banking, disease modeling, and molecular profiling (including genomic sequencing) that builds on and complements the expertise in hospitals and research centres across Canada.

Reporting to the Director of ACCESS the Project Coordinator will assist and coordinate various aspects of the project. The Project Coordinator position requires a proactive and action¿oriented individual with excellent organizational, interpersonal, and problem-solving skills. The ideal candidate has knowledge of the current state of cancer genetics and genomics, molecular biology and molecular profiling.

Key Tasks

  • Assist with organizing / scheduling meetings and coordinating the schedule of project stakeholders
  • Prepare agendas and minutes for PROFYLE-related meetings (including identified action items)
  • Coordinates work of the national PROFYLE team
  • Assist the Director and other team members with various aspects of the project, including but not limited to planning, tracking, monitoring, documenting, and reporting
  • Maintain timely communications with PROFYLE and ACCESS team members
  • Communicate project status with the Director, PROFYLE Leadership Committee, and the ACCESS Secretariat Team, as appropriate
  • Work with the leaders to track project finances (including aiding other team members with preparation of reporting)
  • Aid in the preparation annual and other required reports (progress reporting, etc.) for partner funding agencies/institutions and foundations
  • Coordinate activities, such as data entry and checks of completeness, database user training, and stakeholder communication
  • Assists with preparation of presentations (slides, posters, abstracts, etc.)
  • Day-to-day coordination of the study/project (including the enrollment of participants, data and sample collection, etc.)
  • Support and coordinate the request, review, approval processes for data and material sharing
  • Maintain knowledge of protocols and ensure applications are developed and submitted to amend the PROFYLE research (and related projects) ethics at all involved institutions
  • Aid in the organization of ACCESS and PROFYLE stakeholder meetings (including ACCESS annual meetings)

Qualifications

  • At minimum, a Bachelor¿s degree in a health- or science-related discipline
  • A minimum of five (5) years of previous experience in project/program coordination
  • Experience in project coordination activities with complex and large-scale projects
  • At least three (3) years of clinical research experience
  • A certification as a clinical research associate (e.g., SOCRA accreditation) is desirable
  • High computer proficiency, familiarity of virtual meeting/conference programs (i.e., Zoom, Teams, etc.), scheduling and surveying tools (i.e., Doodle, Calendly, Microsoft Forms, Survey Monkey, etc.), and data collection and sharing tools (i.e., Microsoft 365 tools/apps (Word, Excel, Outlook and PowerPoint, etc.), REDCap, REDCap Cloud, ATiM, CentraXX, etc.) is desirable
  • Well-developed analytical, problem-solving skills; advanced organizational, administrative and multi-tasking skills
  • Excellent English written and oral communications skills
  • French language skills are considered an asset
  • Ability to work under pressure and while maintaining a high attention to detail
  • Ability to work independently and in a team environment (strong interpersonal skills)
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines
  • Knowledge of applicable legislative, Hospital for Sick Children and/or departmental policies is considered an asset
