We are seeking a detail-oriented Promotions Administrative Support to support merchandising and promotional execution within our centralized ordering platform. This role is responsible for ensuring accuracy and consistency across product data, promotional workflows, and seasonal campaigns. It supports cross-functional coordination within the merchandising and marketing teams, and external vendors to ensure timely and accurate delivery of promotional member-facing materials.
The Promotions Administrative Support operates with a dual reporting structure reporting to the Promotions Lead for day-to-day activities and to the Director of Merchandising for strategic direction.
Core Responsibilities
Education:
Post-secondary diploma or certificate in Business Administration, Marketing, or related field preferred
Experience:

Core Responsibilities
- Promo IQ Execution & File Maintenance
- Maintain accurate item master data, including new item setup and item discontinuation
- Link items to correct promotional programs
- Update and maintain product attributes including descriptions, pack sizes, pricing, vendors and marketing definitions
- Document and report system issues
- Promotional weekly deadlines
- Flyer & Vendor Submission Support
- Organize and validate vendor submissions
- Prepare promotional submission files
- Support EDI file preparation
- Update flyer content lists and descriptions
- Prepare flyer highlights sheets and order forms
- Post promotional updates and order forms to members
- Compile follow-up reports
- Seasonal & Prebook Support
- Prepare, generate and maintain seasonal promotional files
- Assist with promotional calendar updates
- Private Label Administrative Support
- Maintain item files and updates
- Prepare various item reports
- Post updates in internal portal
- Support Private Label category manager
Education:
Post-secondary diploma or certificate in Business Administration, Marketing, or related field preferred
Experience:
- 1-3 years in administrative, merchandising, retail support, or data-entry roles
- Experience working with spreadsheets and databases
- Experience supporting promotional or retail workflows considered an asset
- Intermediate Excel proficiency
- Strong organizational and time management skills
- High attention to detail
- Ability to follow structured workflows
- Clear verbal and written communication skills
- Ability to identify and flag discrepancies
- Critical thinking
- Comfortable working across multiple systems and cross-functional teams
