We are seeking a skilled and friendly receptionist to join our team. As a receptionist, you will be the first point of contact for our company, providing a warm and professional welcome to all visitors and callers. Your primary responsibility will be to ensure the efficient and smooth operation of the front desk area while maintaining a high level of customer service and professionalism.

This role requires excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment.

This is an in-person role based at the Dagmar Construction office (a fully owned subsidiary of Bird Construction) in Ajax, ON.

What You Will Be Doing

  • Greet visitors, answer phones, and receive general email inquiries, directing them as appropriate.
  • Maintain phone lists, process all incoming mail, and handle incoming and outgoing courier deliveries and faxes.
  • Review, distribute, match, and copy accounts payable documentation.
  • Manage inventory, promotional goods, kitchen snacks, and office keys; order office supplies and use the postage machine.
  • Maintain, track, and order office supplies for both the office and job sites.
  • Arrange catering as requested and book boardroom meetings.
  • Contact building maintenance as required and coordinate the resolution of minor/ongoing concerns.
  • Assist in the coordination of corporate events.
  • Order business cards for new and existing employees.
  • Assist with other areas as identified by the Business Services Manager as necessary.


What We Are Looking For

  • Diploma in Office or Business Administration.
  • 5 years of reception and/or administrative assistance experience.
  • Good knowledge of MS Teams for call management and internal communications.
  • SAP experience and knowledge are an asset.
  • Proficiency with Microsoft Office Suite, including but not limited to Excel, Word, and Outlook.
  • Outstanding verbal and written communication skills, along with exemplary customer service skills (e.g., courteous and professional demeanor; the ability to interact at all organizational levels; discretion, tact, and diplomacy; strong judgment in responding to inquiries).
  • Sound judgment in supporting the overall success of the team and efficiently and effectively completing tasks/assignments/projects while adding value to the process.
  • Hands-on self-starter with a high degree of initiative, attention to detail, and exceptional organizational and time management skills.
  • Demonstrates a sense of urgency and a strong commitment to achieving goals, with the ability to work in a challenging, fast-paced environment.
  • Ability to work within tight deadlines and prioritize work to achieve them.
  • Excellent relationship-building skills.
  • Ability to work collaboratively in a multi-disciplinary team with a positive attitude.
