We're looking for the person who can keep up with a CEO who moves at the speed of a double espresso and a company that's growing faster than we can hang new signs on buildings.


As our Senior Executive Assistant, you'll be the organizer, problem-solver, gatekeeper, and professional chaos coordinator behind the scenes. You'll help keep priorities moving, calendars aligned, projects on track, and the executive office running smoothly.


If you're organized enough to pack for a week-long trip in ten minutes, can juggle twenty priorities without breaking a sweat, and secretly enjoy checking things off a list, we should probably talk.


What you’ll be doing:

  • Own and manage the CEO's calendar, inbox, travel, expenses, contacts, and daily priorities, ensuring time is allocated effectively and strategically.
  • Act as a gatekeeper and trusted partner to the CEO by screening, prioritizing, and responding to requests while ensuring critical matters receive timely attention.
  • Prepare, draft, and coordinate executive communications, presentations, reports, agendas, briefing notes, correspondence, and meeting materials.
  • Track and drive follow-through on executive commitments, strategic initiatives, action items, deadlines, and leadership priorities.
  • Anticipate needs, identify potential issues before they arise, and proactively implement solutions to keep priorities moving forward.
  • Research, gather, organize, and summarize information to support decision-making, business planning, special projects, and confidential assignments.
  • Serve as a key liaison between the CEO, executive leadership team, business units, vendors, partners, and external stakeholders.
  • Coordinate leadership meetings, executive rhythms, company initiatives, and special projects while ensuring clear communication and accountability.
  • Plan and execute corporate events, leadership meetings, conferences, customer events, employee recognition programs, and other strategic initiatives.
  • Manage all event logistics including scheduling, vendor coordination, communications, materials, budgets, and post-event follow-up.
  • Own reputation management activities including customer escalations, online reviews, and other matters requiring executive visibility and resolution.
  • Coordinate the development and distribution of presentations, branded materials, internal communications, and executive-level content.
  • Maintain and continuously improve systems, processes, templates, records, and administrative standards to support organizational efficiency.
  • Support personal and business-related administrative matters for the CEO with professionalism, discretion, and confidentiality.
  • Safeguard confidential business, financial, legal, employee, and strategic information with the highest level of integrity and discretion.


What we’re looking for:

  • Minimum 5 years of experience in an Executive Assistant, Senior Administrative Assistant, or similar role, supporting a CEO, President, Owner, or senior executive.
  • Experience coordinating executive calendars, meetings, travel, communications, events, and senior-level priorities.
  • High proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, SharePoint, and Teams.
  • Experience with AI tools and productivity platforms would be considered an asset.
  • Strong business acumen with the ability to understand executive priorities, confidentiality, urgency, and organizational impact.
  • Excellent organizational and time management skills, with the ability to manage competing priorities, shifting deadlines, and confidential matters with accuracy and professionalism.
  • Strong written and verbal communication skills, including the ability to prepare polished correspondence, presentations, meeting materials, briefing notes, and follow-up communications.
  • High attention to detail, sound judgment, initiative, and the ability to work independently with minimal direction.
  • Professional, team-oriented approach with strong emotional intelligence and the ability to build trust across all levels of the organization.
  • Commitment to confidentiality, discretion, integrity, and protecting sensitive business, employee, financial, and strategic information.
  • Ability to travel as needed.
