As a Service Coordinator, you will play a vital role in helping individuals receive the mobility and accessibility equipment they need to improve their independence and quality of life. You will be the connection between our clients, healthcare professionals, technicians, suppliers, and funding agencies—ensuring every service experience is seamless from start to finish.

What You'll Do

Every day brings something different. You will:

  • Be the first point of contact for clients by phone, email, and in person.
  • Listen to clients' needs, troubleshoot concerns, and coordinate solutions.
  • Schedule service technicians, installations, and repairs.
  • Prepare repair quotes and replacement recommendations for funding approval.
  • Complete work orders, billing, approvals, warranties, and non-billable service documentation.
  • Coordinate installations of accessibility equipment and collect customer deposits.
  • Communicate with occupational therapists, long-term care homes, hospitals, and funding agencies.
  • Order parts, obtain supplier quotes, create purchase orders, and help manage inventory.
  • Coordinate rentals, transfers, deliveries, and returns of mobility equipment.
  • Maintain accurate customer records, appointments, and documentation.
  • Process payments through various funding programs including ODSP, EHSS, WSIB, DVA, and private clients.
  • Follow up with clients to ensure an exceptional customer experience.

Qualifications

  • Bilingual in English and French (required).
  • Experience working with Complex Rehab Technology (CRT), mobility, or accessibility equipment is preferred.
  • Previous customer service experience, ideally involving technical products or services.
  • Strong computer skills, including Microsoft Office and order/inventory management systems.
  • Excellent verbal and written communication skills.
  • Strong scheduling, organizational, and time management abilities.
  • Ability to accurately manage documentation, work orders, quotations, and customer records.
  • Ability to climb ladders and rolling staircases when required.
  • Valid driver's license.
