About the job:

Kent is looking for a Site Administrator to support the Saint John LNG Project (SJLNG) in Saint John, New Brunswick. This role is responsible for managing site-based administrative functions and payroll coordination to ensure accurate workforce records, timely payroll processing, and compliance with project and client requirements. The position plays a critical role in supporting site operations, workforce logistics, and reporting.





Skills and Responsibilities:

Responsibilities:



Payroll Coordination

Collect, verify, and process timesheets for site personnel in alignment with project schedules and work requirements.
Ensure accurate coding of hours, overtime, allowances, and project-specific pay rules.
Coordinate with HR and Payroll teams to ensure timely submission and issue resolution.
Maintain payroll records in compliance with company and client requirements.



Site Administration

Manage onboarding documentation including orientation records, certifications, and site access requirements.
Maintain personnel records, training matrices, and site tracking logs.
Coordinate workforce logistics and scheduling as required.
Provide administrative support to site leadership and department teams.



Reporting & Documentation

Generate weekly workforce reports including headcount, hours tracking, and payroll summaries.
Maintain accurate filing systems for project documentation (digital and physical).
Support audit readiness for payroll and workforce compliance.



Interface & Coordination

Liaise with HR, Payroll, Project Controls, and Site Management teams.
Support workforce planning and mobilization activities.
Assist with resolving employee inquiries related to payroll and site administration.





In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.





Your knowledge/skills, education, and experience:

Knowledge/Qualification/Training/Certification:

Diploma or certificate in Business Administration, Accounting, or related field preferred.
5+ years of experience in site administration and/or payroll coordination in industrial or construction environments.
Strong knowledge of payroll systems, timekeeping processes, and workforce coordination.
Proficiency in MS Office (Excel, Word, Outlook).
Experience with workforce tracking systems and site logistics coordination.





Communication:

Excellent command of the English language in both oral and written communication and skills.
Ability to work with cross-functional teams in a fast-paced site environment.
