About The Role

We are looking for a new team member to be part of our growing company – someone who enjoys a tech company and a collaborative environment like LodgeLink. You will be responsible for Folio Collection & Tagging in Accounts Payable.

This role is located in Calgary, AB, and is in-office with 20% flexibility to work from home.

The Folio Admin is an integral part of the LodgeLink Settlement team and is a proactive role focused on ensuring our AP reconciling team has everything they need to settle the trade with a 3-way match – between folio, booking & virtual credit card payment. Working with any disputes, refunds, handling account queries and working with the overall team to meet our requirements on anything missing from checkout. Essential skills for this role include strong interpersonal and communication skills to build quality relationships with the team and with our external contacts.

Duties And Responsibilities

  • Review “Needs Review” folios in our platform, and link to a valid booking, or delete any duplicate folios as needed – inputting and updating information related to Step 1 of our Capture the Cost tool within our platform.
  • Review “Missing Folios” by booking / property and call to inquire and obtain guests folios not auto sent by the property.
  • Work with the Customer Success & Supply team on escalations not matching bookings, obtain refunds where required.
  • Establish and maintain relationships with the hotel contacts and find the best practices for moving towards folio automation.
  • Collaborate with Supply and AP teams - Assist with communication between internal teams and external vendors regarding folio collection updates, inquiries, and requests.
  • Support other AP functions as required.

Qualifications

  • A Minimum 1 year of experience in Accounts Payable
  • Background in Customer Service would be considered an asset
  • Candidates with hotel administration or night auditor experience would be an advantage, travel industry experience is also considered an asset.
  • Strong attention to detail, adaptability, accountability.
  • Self-starter and comfortable working in a fast-paced dynamic environment.
  • Must have excellent communication, strong interpersonal and problem-solving skills, with the ability to build friendly and collaborative working relationships with suppliers and colleagues.
  • Must be fluent in English both oral and written.
