Job Title: Receptionist / Administrative Assistant
Reports To: Senior Manager, Corporate Services
Department: Human Resources and Corporate Services
Hours: Monday – Friday 9am to 6pm.
Position Summary
The Receptionist / Administrative Assistant is often the first contact that tenants and visitors encounter when calling or visiting the Company. It is important that this first contact be a positive one. In order to ensure that this happens, the Receptionist / Administrative Assistant must be professional and approachable.
Hours for this role are Monday – Friday 9am to 6pm.
Responsibilities
The Receptionist / Administrative Assistant must be client focused, advocate and communicate a positive image of the company, both internally and externally. The Receptionist / Administrative Assistant shall take accountability for decisions made and conduct oneself in a respectful and ethical manner in representing the company’s interests. The Receptionist / Administrative Assistant shall demonstrate entrepreneurialism and behave like an “owner” in carrying out daily tasks and responsibilities; demonstrating creativity and resourcefulness in achieving desired results. The Receptionist / Administrative Assistant is expected to be a team player and work effectively with colleagues and associates in terms of input, sharing of ideas and working to achieve common goal.

Responsibilities
- Answer all incoming telephone calls within two rings and direct callers to the appropriate person/department;
- Keep an accurate listing of existing properties and sites to ensure callers speak to the appropriate representative;
- Greet and announce visitors;
- Answer parking queries and refer questions to the Manager, Parking as required.
- Back up Mailroom as may be required from time to time.
- Assist the Senior Manager Corporate Services with special projects.
- Assist various departments with monthly recurring administrative tasks which may include, opening and sorting mail, scanning documents etc.
- Assist in any other duties that may be assigned from time to time.
- Post-Secondary diploma in Administration or Business Administration courses.
- Minimum of 3 years’ work experience as a Receptionist or Office Administrator in a fast-paced corporate environment;
- Able to work under pressure and remain calm in stressful situations;
- Excellent use of MS Office Suite (Word, Excel),
- Knowledge of accounting systems,
- Must have a professional telephone manner and the ability to handle a busy reception area;
- Knowledge of Telus Ring Central system;
- Excellent written and oral communication skills.
